What is pilates studio management software?
Pilates studio management software brings member records, class packages, the booking calendar and instructor payouts into one system. In studios where equipment such as reformers limits capacity, it also controls how many people can be booked into the same hour.
Sabtask was built for this work inside a pilates studio in Ankara, Turkey.
A day
A studio owner's day
In the morning you open the studio and the calendar shows the day's classes with their instructor, their members and how full each one is; you ask no one who is coming.
At noon a member calls for an extra class; you open their card, remaining classes and expiry are in front of you, you book the free hour, and if the hour is full the system stops you.
In the evening the last class is completed; the instructor's payout and the day's revenue are already written, and all you do is glance at the outstanding payments and close up.

More people get booked into an hour than you have equipment for.
Capacity is defined per class type. One to one, pairs, threes, fours and group classes each have their own limit, and the system will not accept a booking beyond it. In an exceptional case a manager can override with a written reason, and that reason is recorded.
You have to remember how many classes each member has left.
Remaining classes and package expiry sit on the member card. The student sees the same thing and does not have to ask.
Instructor payouts are calculated by hand at month end.
Payouts are calculated as each class is completed. In a pair class two members' payments feed the calculation, in a class of four, four do. By month end the figure is ready.
Classes get booked for members whose package has expired.
Expired packages close, and a warning appears when a class is being opened.
Empty hours go unnoticed.
The calendar shows occupancy. Which hours fill and which stay empty is visible.
Late cancellations fall outside the records.
Your cancellation policy is reflected in the system. A late cancellation is recorded, and whether it costs a class credit is your decision.
A member with a one to one package gets booked into a pair class, and the price difference disappears.
Every package is tied to a class type, and the price difference stays in the package itself. A member cannot be added to a class whose type does not match their package; the system rejects the booking.
A member finds out their package is almost finished at the last class.
The portal shows how many days a package has left, and a package with less than two weeks to go is flagged. Renewal is discussed before the last class, not at it.
When an instructor takes leave or the studio closes, members' package days go to waste.
An approved instructor leave extends the packages of that instructor's students by the days of the leave; a studio closure works the same way. If needed, you extend a package by hand as well.
A make-up class costs the member another class from their package.
A make-up class is added as a separate zero-cost credit, so the member's total class credit does not drop, and the instructor still earns a payout for it.

Common questions
Can I set my reformer count in the system?
Yes. You enter your equipment capacity in studio settings and the system will not take more bookings than that for the same hour.
Can I manage private and group classes together?
Yes. One to one, pairs, threes, fours and group classes are defined separately, each with its own price and capacity.
I work with several instructors on different rates. Is that a problem?
No. Each instructor has their own payout rate.
